Inventory and order management
In short
Custom inventory and order management software keeps stock, movements and orders up to date and syncs them with e-commerce, marketplaces and accounting, with no double entry.
Custom inventory and order management software is an application that keeps track of stock levels, goods in, goods out and customer and supplier orders, connected to the channels you sell through. It is for businesses selling physical products, online or through resellers, that currently update quantities by hand across several systems. The result is warehouse software with data always in sync, fewer shipping errors and no more selling items that are out of stock.
Unlike generic inventory modules, it is built on your rules: your units of measure, your product variants and the way you pick and ship orders.
When do you need custom inventory management software?
- stock levels in your online store do not match reality and you sometimes sell items you no longer have;
- orders arrive from several channels, such as your website, marketplaces, email and phone, and have to be re-keyed by hand;
- stocktaking takes days and the figures never add up;
- you do not know exactly how much stock is allocated, on its way or due for reordering;
- picking errors lead to returns and complaints;
- your current program cannot handle variants, batches or multiple warehouses the way you need.
What we build
- Product catalogue: products, variants such as size and colour, SKUs, barcodes, suppliers and prices in a single database.
- Real-time stock: available, allocated and incoming quantities, across multiple warehouses or shops if needed.
- Stock movements: goods in, goods out, transfers and adjustments, with a log of who did what and when.
- Customer orders: every order, from any channel, in one list with clear statuses: to pick, ready, shipped, delivered.
- Supplier orders and reordering: minimum levels for each item and automatic reorder suggestions.
- Picking and shipping: pick lists, barcode scanner checks and courier label printing.
- Batches and expiry dates, where needed: traceability for sectors that require it.
- Guided stocktaking: counting from a smartphone or handheld terminal, with automatic comparison between counted and recorded quantities.
Connecting to e-commerce, marketplaces and accounting
Much of the value of inventory software lies in its connections. We integrate it with the most widely used e-commerce platforms, such as PrestaShop, WooCommerce and Shopify, so stock on your website updates itself and orders reach the system the moment they are placed. If you need a new shop, we can design it as an online store already connected to your warehouse. We can also sync products and orders with marketplaces through our marketplace integration service. For accounting, invoicing and couriers we use API integration, meaning automatic data exchange between different programs.
How we work
- Virtual walk-through: on a call you show us how goods move, from supplier delivery to customer shipment, and which sales channels you use.
- Data review: we check your current catalogue, codes and stock levels to see what needs tidying before import.
- Phased proposal: clear timelines and costs. The first phase usually covers the catalogue, stock levels and syncing with your main channel.
- Development and testing: we test the system on a copy of your data and on real workflows before touching your online store.
- Controlled go-live: an opening stocktake, switchover to the new system and hands-on support during the first working days.
- Evolution: new channels, new warehouses, reports and automation as your needs grow.
Technical choices
The system is a web application available in the browser in the office and on a smartphone in the warehouse. For work on the floor, such as picking and stocktaking, we can build it as a Progressive Web App: an app installed from the browser that uses the camera to read barcodes and keeps working on a patchy connection. On the server side we use widely adopted technologies such as PHP or Python and databases such as PostgreSQL or MySQL, with automatic backups.
Timelines and costs: what they depend on
- the number of products, variants and warehouses;
- the number of sales channels to sync;
- whether you need batches, expiry dates or serial numbers;
- integrations with accounting, couriers and suppliers;
- the state of your catalogue and the data to import.
A first phase with stock levels and syncing for your main channel generally takes a few weeks. More advanced features are added later, once the system is already in use.
Why choose us
- A single point of contact: one person handles the warehouse system, integrations and e-commerce, with no back and forth between suppliers.
- Your code and your data: the software belongs to you and you can host it wherever you like.
- Experience on both sides: we build both management systems and online stores, so we know exactly where they connect.
- Fast and accessible: quick interfaces that meet WCAG 2.1 AA, designed for people working on their feet between the shelves too.
