Process automation

In short

Process automation turns repetitive tasks such as notifications, documents, approvals and data updates into workflows that run on their own, so your team can focus on work that really needs a person.

Business process automation means getting software to carry out, automatically, the repetitive tasks someone currently does by hand: sending a notification, generating a document, requesting an approval, updating a spreadsheet or a management system. It helps any small or medium-sized business that wants fewer errors and less waiting time without overhauling the tools it already uses.

An automated workflow is a sequence of steps that starts from an event, such as “a new order arrives”, and carries on by itself according to set rules. PragaWeb designs these workflows with you, builds them with the most suitable tool and keeps an eye on them over time.

Signs you need process automation

  • The same operations repeat every day, always in the same way.
  • Requests get lost between emails, chats and shared spreadsheets.
  • An approval stalls because nobody notices it is their turn.
  • Quotes, contracts or reports are filled in by copying data from other programs.
  • You spot problems (low stock, overdue payments, deadlines) when it is already too late.
  • The work depends on the memory of one or two people.

What we automate

  • Notifications and reminders: alerts by email, Slack, Microsoft Teams or SMS when something important happens, such as a new order, a late payment or stock below threshold.
  • Document generation: quotes, order confirmations, contracts and PDF reports created from your data, using your own template.
  • Approval workflows: purchase, holiday or discount requests routed to the right person, with a record of who approved what and when.
  • Lead handling: website forms that create the contact in your CRM, assign an owner and schedule the first follow-up.
  • Data updates: scheduled syncs between spreadsheets, management system, online store and email marketing tools.
  • Periodic reports: daily or weekly summaries sent automatically to the people who need them.

How we work

  1. Observing the process: you walk us through how the work is done today, step by step, and who is involved. Unnecessary steps often surface and can be removed before automating anything.
  2. Setting priorities: we start with the workflows that save the most time or prevent the most frequent errors.
  3. Proposal: workflow diagram, recommended tool, any licence costs, timing and phases.
  4. Build and test: we build the workflow and test it with real cases, including the “odd” ones.
  5. Launch and training: we switch the automation on and explain to your team what it does and how to step in if needed.
  6. Ongoing checks: we monitor errors and adapt the workflows when your rules change.

Tools: no-code platforms or custom scripts?

There is no single right tool. We choose based on volumes, budget and the data involved:

  • n8n: an open-source platform that can run on your own server, useful when data must stay under your control.
  • Make and Zapier: ready-to-use online services with hundreds of built-in connections; great for getting started quickly with modest volumes.
  • Custom scripts and microservices: in Python or Node.js, when the logic is complex, volumes are high or the platforms’ usage-based pricing would become too expensive.

Often the best answer is a mix: a platform for simple workflows and custom code for the critical parts. When software needs deeper connections, we build them with a dedicated API integration.

Timing and costs: what they depend on

  • the number of workflows and steps in each;
  • how many systems need connecting and whether ready-made connectors exist;
  • monthly operation volumes, which affect platform licence costs;
  • how exceptions and any manual checks you want to keep are handled.

A first simple workflow is usually up and running within a few days to a couple of weeks; a set of interconnected automations takes longer and is best released in phases. We always quote our work separately from any tool subscriptions.

Why choose PragaWeb

  • One point of contact who knows your processes and answers directly.
  • No lock-in: accounts, workflows and code are in your company’s name and documented.
  • Automation with judgement: we automate what is worth automating and leave decisions that need attention to people.
  • One step further: where documents or emails need reading, we can add applied AI to your workflows; if you lack a central system, we can build a custom business management system.

Is there a task you repeat every day and would love to get rid of? Tell us about your process and we’ll work out together what to automate.

Frequently asked questions

Which is better: n8n, Make, Zapier or a custom script?

It depends on volumes, budget and how sensitive the data is. Make and Zapier are quick to start, n8n can run on your own servers and custom code pays off for complex logic or high volumes. We recommend one after seeing the process.

Are there recurring costs on top of your work?

There may be subscriptions to automation platforms or server costs if you choose a self-hosted option. We list them separately in the proposal, so you always know what you pay and to whom.

What happens if an automated workflow stops?

We set up error alerts and, where useful, automatic retries. With a maintenance plan we step in ourselves; either way the workflow is documented and your team knows what to do.

Do I need to change the software I use?

Usually not. Automation works on top of the tools you already have, connecting them. If a program does not allow connections, we suggest alternatives and weigh costs and benefits.

What do you need from me to get started?

Someone who knows the process well, access to the software involved and a little time for testing. We prepare the rest.
